RENTAL AGREEMENT

This Rental Agreement (“Agreement”) outlines the terms and conditions under which Beyond Tablescapes LLC (“we,” “us,” “our”) rents china, glassware, flatware, linens, décor, and other event items (“Rental Items”) to the customer (“Client,” “you,” or “your”). By submitting a rental order, paying a deposit, or accepting delivery of Rental Items, you agree to the following terms.

1. Scope of Rental Services

Beyond Tablescapes provides rental items as outlined in your confirmed order. Our inventory may include china, flatware, glassware, linens, décor pieces, and other event‑related items. Inventory availability is subject to change, and Beyond Tablescapes may update offerings at any time. The standard rental period is 3 days, beginning on the date the items are picked up or delivered and ending on the agreed return date. Extended rental periods may incur additional fees.

2. Reservation Requirements & Payment Schedule

A nonrefundable 50% deposit is required to secure your rental order. Items are not reserved until this deposit is received. The remaining balance must be paid no later than 7 days prior to your event, unless otherwise stated on your invoice.

By submitting any payment, you authorize Beyond Tablescapes to securely retain your payment method and charge it for outstanding balances, damage or loss fees, late return fees, cleaning fees, optional protection coverage, or any other charges permitted under this Agreement. This authorization remains active until all amounts due are paid in full.

3. Delivery, Pickup & Return Procedures

Delivery and pickup services are available for an additional fee. Delivery will occur within the scheduled window provided to you at a mutually agreed location. If you choose to pick up your order, items must be collected and returned during the designated hours listed on your invoice.

If you appoint a third party to pick up or return items, they assume full responsibility for the Rental Items from the moment they receive them. Beyond Tablescapes is not liable for damage or loss occurring in third‑party vehicles or custody.

Late returns will incur additional rental charges and may result in replacement fees if items are not returned within a reasonable timeframe. If items cannot be delivered or picked up due to access issues, additional fees may apply.

4. Order Adjustments, Reductions & Cancellations

Order modifications may be made up to 14 days prior to your event, subject to availability.

Cancellations or reductions made:

  • Within 14 days of the event: 50% cancellation fee

  • Within 7 days of the event: charged in full

Reductions are limited to 20% of the rental subtotal at the time the deposit is received. Larger reductions may incur administrative or restocking fees. Additions must be made before the scheduled delivery date. Custom or special‑order items are non‑refundable.

5. Care, Handling & Cleaning Requirements

A Care Guide is provided to help ensure proper handling of all Rental Items. Many items require special care and should not be washed, soaked, or placed in a dishwasher unless specifically permitted. Damage resulting from improper handling, cleaning, or storage will be billed to the Client.

6. Standard Cleaning Fee

All rental orders are subject to a nonrefundable Cleaning Fee of 8%, calculated from the rental subtotal. This fee covers routine cleaning, sanitizing, drying, and repacking of items after your event.

The Cleaning Fee does not cover:

  • Wax removal

  • Fabric stains, burns, or water damage

  • Mold or mildew

  • Floral residue or floral foam

  • Breakage or missing items

  • Any condition requiring specialized restoration

These issues are billed separately at restoration or replacement cost.

7. Custom & Special‑Order Items

Items specially sourced or custom‑ordered for your event cannot be reduced or canceled once confirmed in writing. These items may not be returnable to vendors and are billed in full.

8. Substitutions

If unexpected inventory issues arise, Beyond Tablescapes may provide comparable or upgraded substitutions. Substituted items will match or exceed the quality and style of the original selection. Clients will be notified promptly if a change is required.

9. Responsibility for Rental Items

The Client is responsible for all Rental Items from the moment they are delivered or picked up until they are returned and inspected. Items may not be altered, painted, glued, or permanently modified.

Replacement charges are based on the full retail value, including sourcing, freight, and restocking costs. Depending on the item category, replacement costs may be several times higher than the rental rate. A replacement cost list is available upon request.

Late returns accrue daily rental fees until items are returned.

10. Liability & Permitted Use

Rental Items are intended solely for the event specified in your order. Beyond Tablescapes is not responsible for injuries, property damage, or consequential losses arising from the use of Rental Items. Our total liability is limited to the amount paid for your rental order.

11. Force Majeure

Beyond Tablescapes is not liable for delays or failure to perform due to circumstances beyond our control, including severe weather, transportation issues, venue restrictions, emergencies, or other unforeseen events.

12. Governing Law

This Agreement is governed by the laws of the Commonwealth of Pennsylvania. Any disputes shall be resolved exclusively in Pennsylvania courts.

13. Acceptance of Terms

By placing an order, paying a deposit, or accepting delivery of Rental Items, the Client acknowledges that they have read, understood, and agreed to these Terms & Conditions. The Client authorizes Beyond Tablescapes to charge the payment method used for the deposit for all remaining balances and applicable fees.

14. Amendments

Beyond Tablescapes may update these Terms at any time. Revised Terms apply to all orders placed after the revision date.
